Recently we found some problems in PMS application which cause delays in the closing process and many patchings have to be done (which are sometimes patching could not be done since will affects other problems in application).
Here are the reminder and some explanations due to those matters :

1. Project budget is consist of labour and material.

2. When you put Scenario of Payment (for amount of Labour only) please refer to Frame Contract Scenario of Payment and Time Schedule of Project you want to implement.

3. Please put Daily Activity based on actual progress you have (not after several months or when you want to close the PO). These are important since we want to have actual and accurate data which will be reported internal and external. Make sure you put the BOQ and BOM in accordance with on site condition, since several times we found the average progress are decreasing from the previous progress and also mistakes of BOQ items.

4. Please do remember that all materials that you use for Capex and OPEX projects (using PMS and has PO ID number) must be recorded in inventory “logical warehouse ” (project warehouse).
If the project is emergency and material is not available in logistic, & you find the required material is in other “logical project warehouse” or “your emergency mini warehouse” , please do the movement administration material and inform logistic inventory (Ivan Pahlevi or Ibu Aryanti) to help you do this kind of matter. With this action we still can monitor and record the inventory movement / transaction and please do this while the process in PMS is in “In Progress”, and not after you go to “Work Finished” process.

Notes : Length (m) of item Pekerjaan Pasang Pipa in BOQ “must be the same” with material used / installed (column) in m in Material Balance , TDS (Technical Data Sheet) & in the As Built Drawing (except if there is any material used for boring works or casing should put the explanation). If you use the material such as pipe less than 6 m, which means there will be remaining piece of pipe you should make adjustment in material balance (at the moment this is the existing condition)

5. Please do the material Balance after you go to “work Finished” process. BOM & MRL latest revision should be made and quantity in the column of request and Installed must be same . If there is non returned material or contractor material used occurs, don’t forget to issue Berita Acara Non Returned Material or Berita Acara Material Provided by Contractor. And if Berita Acara Material Provided by Contractor issued you should put this item on PO revision.

6. ICS (Inventory Closing Statement) must be done after Material Balance is done where the column of Request and Installed have to be in the same quantity. This ICS then send to Logistic Inventory where the status of PMS is “work finished”, not when the status of PMS is Closing Request. ICS must be validated by you attached with Material Balance and if any Berita Acara as above mentioned. Logistic will validate the ICS and issue IPVR (Inventory project Valuation Report) , means no more transaction / material movement for the PO you intend to close. ICS + IPVR given back to you.

7. C**** now are checking the quantity of BOM, BOQ , TDS and As built Drawing, so please make sure you check all of these matters before you validate and send to us.

8. If you want to cancel the PO, you have to make sure that no material recorded in the PO. When it’s OK you ask Procurement to cancel the PO.

9. We found many POs have been in Closing Request status but no documents have been sent to us to close the POs. Please speed up the process of closing, prepare and send the documents immediately so we can close the POs.

Those above mentioned matters are prevention for all of us to do the patching in application and to speed up the process of closing (to minimize mistake which will cause the delays in all of process).

Here is the step:

1. Register in Oracle (Purchasing module: Setup > Personnel > Employee)
2. Register in Oracle (Purchasing module: Person Information > TAB: Assignment for Job and Position)
3. Register in Oracle (Purchasing module: Define Position Hierarchy > PLJ PMS …)
4. Register in Oracle (Purchasing module: Setup > Personnel > Buyer)
5. Register in Oracle (Sysadmin module: Security > User > Define)

6. Register in PMS: User Role Maintenance
7. Register in PMS: User Maintenance

8. Register in PMS Database: Add folder for new user

This is the how-to to solve it:
1. Do the following in your Internet Explorer browser:
Go to Tools -> Internet Options -> Security (tab) -> Trusted Sites -> Custom Level (button) -> Downloads and set ‘Automatic prompting for file downloads’ to ‘Enable’.
Go to Tools -> Internet Options -> Security (tab) -> Sites –> Add the url of your server to the trusted sites

2. Close the application and the browser. Open the browser again and launch the application and test now.

Voila…. It works!

This happened to my user. He get confused, because this never happened before.
I get confused too because nothing seems wrong.
So I try to refresh each columns in the form while I run the Diagnostic App Check: Oracle Inventory
Voila, after the refresh button, there was nothing error happened again.

How to know Purchase Requisition (PR) Information if we only know Purchase Order (PO) number?

Answer
1. Go to > Purchase Order Summary
2. Entry PO #
3. Go to > Inquiry > View Distributions
4. Go to > Folder > Show Field
5. Choose: Requisitions

The case is: User created new locator in the wrong sub inventory.
Even though the locator has been inactive, you still cannot create the same locator name in different subinventories.
Oracle has a strict rule that locator names are unique.
To make it worst, our locator name has a correlation with ongoing project id.
Therefore, if we don’t create the locator in the correct subinventory, other application cannot view the data correctly.
Great isn’t it?

Well, like I said earlier, there is always a procedure to solve things.
And this is the how-to:

Please use the below API to delete the incorrect Stock Locator that was setup.

1) Make sure that the Locator is not used for any item or against any kind of transaction.

2) Before executing the API, Inactivate the Locator. I think you have already inactivated the locator, if not, then update the Inactive date on the Stock Locators form and save.

3) Run the below query and fetch the locator_id and the organization_id. Input the first segment of the locator.
